Full time, 40 hours per week with a Monday – Friday schedule.
The City of Augusta Fire Department is seeking a professional administrative assistant to provide a variety of clerical and office support functions to the fire chief and fire department personnel. This position pleasantly responds to public inquiries via telephone, email and in person with appropriate information or referrals. Solid math/book keeping skills and accurate use of grammar and business communication a must.
Duties may include: managing department filing system, processing billing, scheduling meetings, trainings, manages accounts payable and receivable within the department, processes ambulance run reports for billing, applies for and tracks status of federal, state and local grants and manages the documents associated with them, types routine and confidential correspondence for the fire chief and deputy chief, responds to legal requests for information, submits worker’s compensation claims accurately and on time, schedules physicals with occupational health providers, accurately calculates and submits weekly timekeeping records and other human resource related records, and coordinates travel arrangements as necessary. Responsible for coordinating purchasing and ordering of uniforms and maintains clerical supply inventory. Liaison to the Q.I. Committee for quality improvement, schedules CPR programs & generates invoices for programs completed. Works with Social and Community organizations for public education events. An intermediate or higher use of Outlook email, internet search engines, PC data entry and Microsoft Word preferred.
Education and Experience: An Associate’s Degree or higher in related field strongly preferred and two years’ experience in a clerical/administrative role involving contact with the public. Directly related experience may be substituted for the education requirement at the discretion of management.
Valid Class C Maine Driver’s License Required
