This is a hands-on administrative/professional position with responsibility for the development and implementation of activities for the recruitment of pre-pharmacy and pharmacy students.

Responsibilities

Recruitment and Admissions related responsibilities
  • Plan and coordinate a wide variety of activities and tasks associated with pre-pharmacy and pharmacy admissions functions, closely coordinating with admissions support in the Undergraduate Admissions and the Office of Graduate and Professional Admissions.
  • Carry out/participate in key research, planning and evaluation tasks related to pre-pharmacy and pharmacy admissions, typically involving the analysis of enrollment patterns and student profiles, development of overall marketing strategies and specific recruitment plans and schedules, preparation of enrollment projections, publications planning, and similar activities
  • Advise prospective applicants to the pre-pharmacy and the pharmacy programs through in-person meetings, phone conversations and email dialogue; provide tours of campus.
  • Pre-pharmacy and Pharmacy: Recruit, interview, train and schedule volunteer tour guides/hosts. Connect prospective students and applicants with tour guides/hosts for personalized campus visit. Schedule tour guides/hosts for interview days.
  • Pharmacy: Host candidates and present welcome session on interview days; spend time with candidates outside of formal welcome session to address questions.
  • Pre-pharmacy and Pharmacy: Develop a cadre of pharmacy student volunteers who are willing and prepared to email prospective students and applicants; work with an administrative staff member to oversee the contact with a current student in the program.
  • With the Undergraduate Admissions and the Office of Graduate and Professional Admissions, plan and coordinate sequential mailings of recruitment materials; draft communication used in the recruitment and admissions process (electronic and print) letters, routine reminder emails, webpages, etc.
  • With Undergraduate Admissions, the Office of Graduate and Professional Admissions and Communications, coordinate brochure development and re-printing with UNE -contracted vendors, including organizing photo shoot days, soliciting data and direct quotes for use in the publication, and manage development or revision production schedule.
  • Initiate mail, email and telephone contact with prospective applicants and respond to email and telephone inquiries regarding pre-pharmacy and pharmacy programs.
  • Devise and execute strategies to recruit and attract minority and multicultural students.
  • Represent pre-pharmacy and pharmacy at high school recruitment fairs, college graduate and professional school recruitment fairs, professional organization-sponsored recruitment events and other off-campus events and activities; visit individual campuses and present to pre-health clubs/groups
  • Plan and host Area Receptions (traveling open houses) in key cities and geographic areas; recruit current students, alumni and faculty to participate in receptions.
  • Represent pre-pharmacy and the pharmacy program and participate in AACP meetings once or twice a year and phone conference meetings as required.
  • Represent pre-pharmacy and the pharmacy program at national and regional pre-health advisors meetings ( NAAHP and NEAAHP )
  • Develop articulation agreements with other colleges and universities. Track and maintain regular contact with feeder schools and pre-health advisors, including feeder schools that will increase the diversity of incoming classes.
  • Compile data for and prepare various reports and analyses related to assigned functions.
  • Confer regularly with supervisor, pre-pharmacy coordinator and admissions staff, COP and professional program administrators and faculty, and other UNE personnel to plan, coordinate and evaluate activities/projects/systems, discuss specific applications, exchange information, investigate and resolve problems, and the like.
  • Develop a cadre of volunteer pharmacy students, alumni and others to represent COP at campus visits and graduate and professional school fairs. Provide training for such volunteers.

    Other related responsibilities
  • Represent the University in carrying out the public relations and general liaison functions of the job.
  • Organize and maintain a variety of manual records and files pertaining to assigned recruiting functions. Use computerized records systems to produce a variety of regular and special reports and to fill specific information requests.
  • Keep abreast of current trends and developments in pharmacy admissions programs.
  • Attend professional meetings and conferences as necessary.
  • Confer regularly with supervisor, other division personnel, and other UNE staff to plan, coordinate and evaluate programs/activities, exchange information, resolve problems, and the like.
  • Completes University new employee orientation and sexual harassment training within 30 days of the date of hire.
  • Understands and complies with the University of New England Safety Manual.
  • Performs other related duties as assigned.

    Qualifications

  • Bachelor's degree, with masters desirable, plus at least five years of highly responsible administrative /coordinative experience
  • In-depth experience in a pharmacy school or related setting that would provide one with significant knowledge of pharmacy education is preferred
  • Experience in admissions/enrollment management preferred.
  • Ability to deal effectively with prospective pharmacy students, pre-pharmacy and other college advisors, UNE faculty/staff/alumni, and others, requiring well developed interviewing, advising and "sales" skills.
  • Well developed administrative and organizational skills that will enable the individual to handle demanding high volume, diverse workload
  • Well developed skills in public relations and conference/event planning and execution.
  • Well developed skills in word processing, database development and management. Ability to manage complex computer software systems and applications for tracking admissions applicants and alumni.
  • Ability to travel extensively as necessary (perhaps for weeks at a time during recruitment season).
  • Ability to regularly work evenings and week-ends needed.
