Primary Purpose of Position:  The Loan Administration Assistant is responsible for administering certain loan servicing functions for MaineHousing’s Single Family, Home Improvement, and Real Estate Owned (REO) portfolios.  The Loan Administration Assistant provides analytical and technical support to the Loan Administration Manager and Loan Administration team. This individual works in the Loan Administration Department working with customers and partners, analyzing data, preparing reports, and maintaining financial records.

Education /Experience:  Education and two years of financial experience in mortgage banking and/or real estate office or a combination of education and experience preferred. 

Core Functions:

  • Manage and process public inquiries and requests for information utilizing knowledge of MaineHousing programs.
  • Respond to phone calls from customers and internal and external partners with various requests regarding MaineHousing’s loan servicing requirements and guidelines.
  • Provide technical assistance, verbally and in writing, to customers regarding loan servicing requirements.
  • Interpret and communicate guidelines, and conduct research when necessary.
  • Develop a strong working relationship with partners.
     
  • Provide technical support to internal and external partners.
    • Provide technical assistance, verbally and in writing, to internal and external partners
      regarding loan servicing requirements and portfolio data.
    • Develop and maintain knowledge of loan servicing procedures, policies, processes, systems and related federal and state regulations and mortgage insurance or government guarantor requirements.
    • Work with the Loan Administration team to develop training materials such as presentations, workbooks, case studies, etc. for internal and external partners
       
  • Perform detailed record keeping and data entry.
    • Set up files for loans authorized for foreclosure, loss mitigation, bankruptcies, acquisitions and REO holdings.
    • Maintain loan files by filing correspondence and notices appropriately.  
    • Update applicable reports and/or databases.
    • Catalog and prepare boxes and files for archiving per MaineHousing policy and records retention requirements.
       
  • Compile and analyze data and prepare technical reports associated with the loan portfolios, delinquent accounts and real estate holdings.
    • Compile and analyze data from the loan servicing system/database and other various reports.
    • Prepare technical reports and complete various paperwork for internal and external partners, as needed.
    • Prepare routine weekly, monthly, quarterly, and annual reports.
       
  • Process Expense Reimbursement requests.
    • Reconcile the expense reimbursement requests from Loan Servicers to ensure all allowable expenses were properly claimed, supported, and reimbursed by the mortgage insurer or guarantor.
    • Receive and process all expense requests related to the Real Estate Owned portfolio. 
    • Prepare check request or wire instructions for payment of expense.  
    • Maintain and update database, reports, and loan files to track all timelines and any processing delays.
    • Prepare weekly and monthly status reports describing the status of expense reimbursement requests.
       
  • Review and analyze financial information
    • Determine upcoming foreclosure sales and anticipated sale dates by analyzing delinquency reports.
    • Determine expected receipt of various documents and proceeds by analyzing Sale and Claims Reports.
    • Follow up with servicing lenders regarding account status using information provided on monthly delinquency reports.
                             
  • Process incoming checks for the Agency on Cash Voucher.
    • Log checks received each day.
    • Complete disbursement memos and submit to accounting for application of funds received for loan servicing.
       
  • Process incoming/outgoing mail.
    • Separate and identify recipient of mail by address or type of mail and distribute.
       
      Other Duties:
  • Serve as back-up to other Loan Administration Assistant position
  • As assigned
     
    Skills and Knowledge: 
  • Knowledge of mortgage loan documentation, loan servicing procedures and functions
  • Knowledge of federal and state residential loan servicing compliance regulations.
  • Excellent analytical and mathematical skills
  • Excellent written and oral communication skills; including formal report writing
  • Ability to work collaboratively and effectively as a team member
  • Strong attention to detail and accuracy
  • Excellent time management and organization skills
  • Demonstrated ability to take initiative and utilize creativity
  • Strong PC skills including knowledge of various software applications including Word, Excel, Access, PowerPoint and data management
     
    Working Conditions:  Most tasks related to this position, such as data entry and telephone communication, are performed seated at a desk.  However, there are some tasks, such as filing and archiving, which require occasional physical activity, i.e. standing, kneeling, stair climbing and lifting & carrying of approximately 20-30 pounds.  MaineHousing office hours are Monday – Friday from 8:00am to 5:00pm.
