Primary Purpose of Position: The Mortgage Systems Specialist is part of the Homeownership team and will support and provide technical assistance for the database application systems, provide quality control checks on reservations, loan files, and documentation, and review final documents for compliance.

Education /Experience: An Associate’s degree and minimum of two years of experience in residential mortgage lending and database management or a combination of education, training, and experience preferred.

Certifications / Licenses: Notary Public preferred

Core Functions:

  • Identify and evaluate existing software to improve performance

    • Analyze and document business processes and problems, and develop solutions to streamline workflow

    • Plan and implement new methods and procedures to make daily operations more efficient

    • Analyze user needs and design reporting delivery solutions and training materials, as necessary

       

  • Quality Control

    • Develop and implement on going review process for receipt, review and transmittal of perfected trailing documents to the Document Custodian: Original recorded Mortgages, Assignments, Final Title Policies, Government Guaranty’s and Private Mortgage Insurance Policies.

    • Prepare reports and recommendations for findings from periodic audits for management review

    • Quarterly UCC Audit

    • Quarterly FHA Lender review

    • Quarterly audit of rejected/denied loans for proper reassignment

    • Obtain security document corrections for loans identified by Loan Servicing and/or the sub-servicer that contain ineffective security documents.

  • Provide program information and policy clarification to partners via telephone, email and fax.

  • Provide program information to consumers via telephone and face-to-face meetings (i.e. walk-ins)

  • Represent MaineHousing at outreach events and trade shows

  • Participate in team meetings to identify process improvement opportunities

  • Attend meetings, perform research, and collect data for assigned tasks

    Skills and Knowledge:

  • Familiarity and experience with mortgage loan process

  • Experience and working knowledge of mortgage lending software and Microsoft office

  • Ability to define, document and validate business and technical requirements

  • Strong organizational skills

  • Demonstrated high-degree of accuracy and attention to detail

  • Ability to communicate effectively, both orally and in writing

  • Excellent telephone skills

  • Ability to think and act independently and take initiative

  • Ability to develop new ideas and communicate them clearly to management

  • Ability to multi-task, and work with minimal oversight

    The starting hourly rate for this position is $18.5177
