Thomas College invites applications for the position of Office Assistant to the Registrar/Student Financial Services. The Office Assistant is responsible for performing all necessary support functions of the Registrar/SFS Office in a timely and accurate manner. The Office Assistant is the first contact for students and their families. This includes greeting walk-ins, answering phones and replying to e-mail requests. He/she is responsible for answering general registration, student billing, and financial aid questions. He/she must be able to perform typical secretarial tasks, including printing reports, letters, and forms, photocopying, coordinating appointments, filing, and data entry.
The Office Assistant will assist with advising and registering day, CED and grad students for classes, as well as processing course drop forms. Other responsibilities include, assisting with change of program requests, minor requests, student academic file maintenance, enrollment verifications, previous degree verifications, transcript requests and helping to organize information for special events. In addition to all routine filing, the office assistant is responsible for maintaining new and previous student files.
He/she will assist in collecting loan deferment forms and processing payments and other transactions from SFS. The Office Assistant is responsible for maintaining the office inventory. This includes keeping track of supplies and ordering them as needed.
The successful candidate must be organized, detailed orientated and have excellent interpersonal, verbal and written communication skills and be able to work with a wide range of people. The Office Assistant should be able to manage their time efficiently and be able to prioritize various tasks and withstand frequent interruptions. This job involves a combination of customer service skills and technical office skills. Computer experience, such as Microsoft Office, and the ability to identify problems with computer-generated reports are critical.
Associate’s Degree is preferred along with previous experience working in an office setting.
