POSITION SUMMARY

Provide accurate clinical staffing for our large sub specialty based Southern Radiology Division. This position will coordinate meetings, conferences and provide guidance for all physician financial reimbursement Serve as the key liaison for all communication coordination between several hospitals and outpatient facilities scheduling needs. Document changes in staffing and ensure accurate historical documentation for reporting purposes. Manage timely updates and changes to our customer facing scheduling software are reflected accurately to ensure smooth operational staffing.

ESSENTIAL FUNCTIONS
  1. Coordinate all physician clinical staffing needs for the Southern Radiology Division
  2. Manage the implementation and administration of all scheduling rules and requirements to ensure proper staffing levels are accomplished while also ensuring proper maintenance of paid time off for all practice physicians
  3. Provide timely management of requests and swaps submitted by radiologists
  4. Provide oversight and data entry for all Southern Radiology Division scheduling activities
  5. Facilitate all on-going physician scheduling absences and call schedules
  6. Gather, collate and enter all initial and change requests for physician absences (i.e., vacation, work flex, modified work plan participant schedules) and call assignments
  7. Generate weekly clinical schedules and ensure that each service site has an up-to-date schedule
  8. Process daily changes in the schedule as may be required
  9. Coordinate meetings, conferences and software training for physicians with hospital staff, administrative personnel and others as requested
  10. Generate various staffing reports from QGenda as required
  11. Communicate and coordinate with various hospital or offsite clinical personnel to ensure maximum staffing coverage and flexibility
  12. Provide written and e-mail correspondence related to Southern Radiology Division scheduling (including clinical time, non-clinical time, meetings, etc.)
  13. Refer all scheduling conflicts and problems requiring arbitration to appropriate Physician Leadership or administrative support
  14. Maintain appropriate HIPAA or other Company-related confidentiality standards and requirements


PRIMARY RESPONSIBILITIES
  • Provide general administrative support to the Southern Radiology Division as needed
  • Perform other related duties as assigned or as requested by immediate supervisor or a physician leader
  • Establish various policies and procedures associated with clinical staffing and scheduling protocols
  • Regularly seek learning opportunities with various scheduling or office software support applications
  • Attend meetings as assigned and participate in educational activities to keep skills up to date
  • Support Company-wide strategic initiatives
  • Ensure development of strong positive relationships and collegiality among the organization's resources and staff
  • Demonstrate professionalism at all times
  • Displays cooperative behavior and interacts positively and effectively with others to promote a team environment
  • Performs other duties necessary to maintain the overall efficiency and continuity of the department
  • Is proactive in identifying, reporting and participating in the resolution of any potential or actual patient safety issues
  • Administer special projects as assigned by supervisor


QUALIFICATIONS
  • Associates or Bachelor's degree OR the equivalent in relevant experience in fast-paced, multi-tasking environment
  • Clinical staffing experience (hospital or medical environment)
  • Experience using Scheduling software such as QGenda, desired
  • Proficient computer skills to include: Microsoft Excel, Outlook, Word, SRS
  • Knowledge of basic medical/hospital physician operations, particularly radiology departments
  • Experience interacting with Physicians and ability to interface with all levels of employees
  • Excellent interpersonal, communication, and customer service oriented skills
  • Excellent phone skills with the ability to communicate clearly
  • Strong attention to detail with the ability to prioritize multiple tasks
  • Excellent organizational and time management skills
  • Ability to work independently, coordinate multiple schedules and staffing paradigms
  • Ability to maintain confidentiality


PHYSICAL DEMANDS / WORK ENVIRONMENT
  • Daily use of computer operating instruments; stationary PC, Laptop PC, keyboard and mouse
  • General office equipment; telephone, voice-mail, fax machine, and copier
  • Light lifting of paperwork, folders or other general record keeping materials
  • Occasional light travel to various Company provider sites for administrative support
