***The primary role in this position would be administrative but also includes providing clinical support and coverage to support students in our programs***

Overview of Job Responsibilities:

The Administrative Support Professional- School Receptionist is responsible for the day to day general administrative duties that include, but are not limited to answering phones,

Completing administrative tasks required by a school program and supporting building facility needs. This Administrative Support Professional will additionally be required to support clinical needs of the students and program through short interval coverage needs as well as medication administration.  This will require additional education requirements as outlined below.

 

General Responsibilities and Qualifications:

 

  • Greeting Team Members, Parents, Community Members and Students
  • Answering phones
  • Data entry
  • Photocopying
  • Working with computers and related office machines
  • Record keeping,  file organization and compliance with related regulatory entities
  • Practicing the principles and practices of effective interpersonal communications/relations
  • Practicing the principles and practices of confidentiality
  • Office functions as they relate to staff and administrative support
  • Assists Regional Office Manager in complying with company policies and procedures
  • Develops and maintains communication systems, insuring compliance with agency and contract standards and procedures (confidentiality).
  • Assists in duties associated with the hiring process for Direct Support Staff.
  • Works with Regional Office Manager to ensure orientation of new staff
  • Timely and accurate completion of state mandated reports under direction of Regional Office Manager
  • Maintenance of personnel and client files in compliance with Pathways of Maine Policies and Procedures and State regulations.
  • Completion of time sheets and human resource paperwork as directed by Regional Office Manager
  • Proficient with the use of office machines and procedures, personal computers including the use of  Microsoft windows applications as well as the ability to use web-based applications and email.
  • Maintains office supplies including reordering as necessary
  • Record keeping, files organization, and compliance with related regulatory bodies.
  • Practicing the principles and practices of effective interpersonal communications/relations
  • Practicing the principles and practices of confidentiality
  • Office functions as they relate to staff and administrative support
  • General office upkeep, answering phones, data entry, photocopying and filing
  • Organization skills with an eye to detail
  • Communicating effectively, both orally and in writing as pertains to business
  • Efficient use of resources [i.e. time, maximizing resources to support administrative functions]
  • Maintaining professional relationships with administration, staff, vendors and community agents
  • Ability to work as part of a team as well as the ability to work as an individual requiring minimal supervision

Education Requirements:

  • Bachelor level degree preferred but minimum of 92 college credits required.
  • Ed Tech III certification
  • BHP certification
  • Agency required trainings including but not limited to, Safety Care, CPR/First Aid, DOE chapter 33 restraint and seclusion, and medication administration training.
  • Valid Maine driver’s license in good standing (record will be verified through Maine State Police)
  • Background check through Dept. of Human Services of Maine (DHHS)
  • Reliable transportation
  • Past experience in an administrative support position within a human service organization is preferred, but not required.

Pay Structure:

  • Competitive Hourly Wage based on experience.
